Spica is a platform for creative studios to build proposals and pre-sales and send them to their clients. This page explains what information Spica keeps, why, and who else handles it.
Spica is in beta. It is free to use for now, and it changes often. If anything here changes in a way that matters to you, we will tell you first.
Who this covers
Studios are the people who sign up and use Spica to make and send proposals. Clients are the people a studio sends a proposal or pre-sale to, who open it from a link and may sign it.
What we collect from studios
- Account details: email address, business name, your name, and your password. The password is stored only as a one-way hash, never as plain text.
- If you sign in with Google: your Google account ID, name and email address. We ask Google for nothing else.
- What you create: builds, proposals, pre-sales, prices, wording, images, logos, signatures and stamps you upload, and your settings (currency, languages, design, and the optional email for client replies).
- Your answers to the short survey after you sign up (for example, the kind of work you do and where you make proposals today).
How we measure use of Spica
Spica counts how the site and the app are used with its own simple analytics, so we can see what works and what to improve. It records the pages visited, the buttons and links clicked, how long a page stays open, the type of device and browser, the country, and the site you came from. When you are signed in, this is linked to your account so we can understand how studios use Spica.
- No cookies are used for this, and nothing is shared with anyone else.
- We do not keep your IP address. A visit is counted with an anonymous code that changes every day.
- On client proposal pages, nothing is measured.
- If your browser sends "Do Not Track", Spica does not measure your visit at all.
- This data is deleted after 13 months.
What we collect about clients
- What the studio enters: the client's name and email address, and the contents of the proposal.
- What the client enters: answers to a pre-sale questionnaire, and a signature, name and date if they sign a proposal.
Each studio is responsible for the client details it puts into Spica, and for having the right to share them with us. We use them only to show and deliver that studio's proposals and pre-sales.
How we use it
- To run your account and sign you in.
- To show proposals and pre-sales to the people they are sent to, and to record their answers and signatures.
- To send email on your behalf when you ask Spica to send a proposal. Replies go to your own email address, not to us.
- To keep Spica secure and working, and to improve it.
- To decide when to invite you into the beta, and to understand what studios need.
We do not sell personal information, and we do not use it for advertising.
Who else handles it
- Cloudflare hosts the site and stores its database.
- Resend delivers the emails Spica sends.
- Google handles "Continue with Google" sign-in, and serves the fonts the pages use (your browser fetches them from Google).
Each of them processes information only to provide its service to Spica.
Keeping your data safe
We protect what you store with care, but no online service can promise it will never lose data or never be breached, and in beta that is even more true. Keep your own copies of anything important, such as signed proposals.
How long we keep it
For as long as your account exists. A proposal you delete stays in your deleted list for 60 days so it can be restored, and then it is removed. To close your account and have its data deleted, write to us using the form below.
Your choices
You can see and change your details on the User page at any time. To get a copy of your data, correct it, or have it deleted, write to us. Depending on where you live, you may have further rights under local law, and you can complain to your data protection authority.
Changes
If this policy changes, the new version goes on this page with a new date at the top. If a change affects you in a meaningful way, we will email you before it takes effect.
Write to us
A question, a request about your data, or something here that is not clear? Send it and we will answer by email.
